Executive Assistant
Job Description
The Executive Assistant is the glue that holds everything together. Your proactive and problem solving skills will be applied to not only the CEO’s list of needs in sales, admin, marketing and operations but also supporting the workplace as a whole. You will be providing administrative and support services as needed to our in-office team of story producers. As the CEO’s assistant, you will interact with celebrities, high-profile clients, artists and influencers along with the everyday contract workers of the industry. The way you handle yourself and communicate will be vital in the success of the company and your role.
Your Impact & Responsibilities
- Work under the direction of the CEO for all leadership initiatives
- Support internal and external communications on behalf of the CEO including sales follow ups, vendor outreach and initial sales inquiry responses
- Setup tasks, time-blocks, to-dos and reminders for CEO on a daily basis, adjusting schedules and priority lists as needed throughout the week
- Manage the CEO’s schedule, meetings, and daily logistics
- Create meeting agendas and take meeting notes for the CEO, creating action items after each meeting
- Attend events with and/or in place of the CEO as a brand ambassador for client relationship development and retention
- Execute travel logistics and onsite tasks, including traveling to support the CEO, ensuring seamless logistics on trips, networking events and on film sets
- Support project management needs for cross-functional projects ensuring high level of communication, responsiveness, and execution
- Implement and track priorities and progress towards goals and organizational objectives
- Oversee basic administrative duties for the physical office on a daily basis such as phone calls, studio tours and basic organization and cleaning
Qualifications
Travel Requirements
As required, most of the time locally in the DFW area
Required Qualifications
- 3+ years in relevant role with proven track record of success
- Previous experience supporting a CEO and/or Founder
- Effective time management, project management, critical thinking, communication, and problem-solving skills
- Ability to collaborate, influence, and motivate others
- Ability to be adaptable and handle high-stress situations and adjust in rapidly changing environments
- Ability to maintain confidentiality and discretion at all times
- Proficiency in Google Suite (Docs & Sheets Primarily)
- Proficiency in Canva
Additional Information
The physical work environment for this role includes a combination of working in our office/studio in Richardson TX as well as occasionally being on location on film sets, events and other engagements. Occasionally we work remote so a personal computer will be needed for off-site remote work.
Currently we are looking for part-time support with up to 25 hours a week and that could grow into more hours after the trial period.
